Office Manager and Administration Executive
We’re looking for a highly organised and proactive Office Manager & Administration Executive to provide essential support to our CEO, Executive Leadership Team, Board, and wider organisation in a fixed-term position for 12 months.
To thrive in this role, you’ll need exceptional organisational and time-management skills, the ability to juggle multiple priorities and a knack for anticipating needs before they arise. You’ll bring sound judgment, intuition, and a proactive approach to keeping things running seamlessly. Your ability to collaborate across teams and build strong relationships with external stakeholders will be key to your success.

Your key responsibilities include:
- Executive and staff support – manage the CEO’s calendar, organise travel, proof and format documents, coordinate meeting logistics, produce minutes, organise staff events and milestones, provide administrative assistance for office projects and offer general support as needed.
- Office management – oversee office supplies, contracts (including managing a comprehensive contract management register), supplier relationships, recycling, meeting room bookings and the carpark roster. Ensure the office runs smoothly and continuously enhance office support services.
- Board services – manage the collation and printing of Board papers, organise meetings and travel, produce minutes, manage the Board election process and onboard new members.
- HR support – Assist with recruitment processes, coordinate staff inductions, ensure policies are read and signed and maintain personnel records.

- Familiarity with recruitment and induction processes
- High proficiency in Microsoft Suite
- Ability to troubleshoot basic IT user issues
